How long does setup take from contract signature to live AI?
Ten to fourteen business days. The first week is practice training — we ingest your services, prices, protocols, FAQs, scheduling logic, and tone of voice. Week two is integration testing, staff training, and soft launch with you monitoring escalations. From day fifteen, the AI is fully live and handling real patient inquiries.
What happens if the AI does not know an answer?
It escalates. Every AI Coordinator includes a configurable escalation matrix — clinical questions go to your on-call clinician, complex insurance to your billing team, distressed callers to a human immediately. The AI never invents answers, never speculates on medical advice, and never makes promises it cannot keep. When in doubt, it gracefully hands off.
Is patient data secure? Is this GDPR-compliant?
Yes. End-to-end encryption in transit and at rest, full audit trail of every conversation, data residency in the UK or EU (your choice), and a complete Data Processing Agreement (DPA) and Data Protection Impact Assessment (DPIA) included with every contract. We hold ISO 27001 and align with NHS Digital's DSP Toolkit requirements.
Can it handle genuine medical emergencies?
It identifies them and escalates. We configure custom triage logic during onboarding — for example, any caller mentioning chest pain, breathing difficulty, severe allergic reaction, suicidal ideation, or other red-flag symptoms is immediately routed to 999 / 112 instructions plus an alert to your on-call clinician. The AI never diagnoses, never delays, never plays doctor.
What languages does it support?
Thirty-plus languages including English (UK, US, Irish, Australian), French, Italian, German, Spanish, Portuguese, Polish, Romanian, Arabic, Urdu, Hindi, Mandarin, Cantonese, Russian, Ukrainian and most major European and Asian languages. Voice and text both. Language is auto-detected from the inquiry, but you can force a default for your region.
What practice management systems does it integrate with?
Cliniko, SimplyBook.me, Pabau, Dentally, Dentrix, Carestack, MicroMD, EMIS, SystmOne, TM3, Jane App, Acuity, Calendly, Google Calendar, Microsoft 365, HubSpot CRM, Salesforce Health Cloud, plus any system with a REST API or webhook support. For systems without a direct integration, we build a custom connector at setup.
Can I keep my existing phone number?
Yes. Full number porting is supported across BT, Vodafone, O2, Three, Sky, and most VoIP providers. We can also forward calls from your existing number into the AI without porting — useful if you want a phased rollout. Setup of either takes 3-5 business days separate from the AI training timeline.
Is there a long-term contract?
No. Monthly rolling for Starter and Pro; quarterly invoicing optional at a 10% discount. Enterprise is twelve months with a quarterly cancellation window. We'd rather earn your business each month than lock you in. We also offer a 30-day pilot for new practices — if it does not reduce missed inquiries within thirty days, you get a full refund and we end the engagement.
